These Terms & Conditions ("Terms") govern your use of the Trip Diaries website and the services we provide in connection with trip planning, trip coordination, and related travel services ("Services").

2. Nature of our services

Trip Diaries provides trip planning, itinerary design, hotel coordination, transportation coordination, sightseeing coordination, and related travel services. We are a travel company and not a booking agent for every individual service. Where a trip involves third-party suppliers, those suppliers may have their own terms, conditions, and cancellation policies.

3. Trip inquiries and quotations

Information you provide in a trip inquiry is used to prepare a trip proposal or quotation. Any quotation or itinerary we provide is subject to confirmation and availability. Until a trip is formally confirmed in writing, plans and prices remain subject to change.

We may ask for additional information to prepare an accurate plan.

4. Pricing

Prices quoted by Trip Diaries depend on the destinations, itinerary, hotels, transport, traveller count, season, and other factors. Quoted prices may change if circumstances change, including availability, seasonality, and operating conditions on the ground.

Unless otherwise stated, quoted prices do not include personal expenditures, optional activities, tips, or items expressly listed as exclusions.

5. Payment and bookings

A trip is not confirmed until the booking process is complete and any required payment or deposit has been received according to the terms agreed for that trip.

Final payment terms, deposit requirements, and cancellation terms for confirmed trips will be communicated in writing as part of the trip confirmation.

6. Changes and cancellation by you

If you need to change or cancel a trip, please contact us as early as possible. Available options depend on the stage of planning, supplier policies, and the terms agreed for your trip.

Our separate Cancellation Policy and Refund Policy describe how changes and cancellations are generally handled. Where those policies conflict with the specific terms of your trip confirmation, the written trip terms apply.

7. Changes and cancellation by Trip Diaries

We may need to modify an itinerary, hotel, or service where necessary due to safety, weather, road conditions, permit availability, supplier issues, government requirements, or other operational reasons. Where possible, we will suggest reasonable alternatives.

If a trip cannot proceed as planned and a full or partial refund is due, it will be handled in accordance with our written trip terms and Refund Policy.

8. Permits and access

Some destinations and routes require permits, passes, or coordinated access. Availability may change with little notice. Where we assist with permits, we do so as part of trip planning, but we cannot guarantee entry to any restricted area at a particular time.

9. Your responsibilities

You are responsible for providing accurate and complete information for your trip, including traveller details, health considerations, mobility requirements, and other needs you want us to plan around. Please inform us of any important constraints as early as possible.

You are also responsible for obtaining any visas, travel insurance, and documentation required for your travel, unless we have agreed in writing to assist with a specific item.

10. Conduct

You agree not to use the Site or our Services in any way that is unlawful, harmful, threatening, abusive, harassing, defamatory, or otherwise objectionable. We may suspend or decline service where we reasonably believe such conduct has occurred.

11. Limitation of liability

To the fullest extent permitted by law, Trip Diaries shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or related to the use of the Site or our Services.

Our liability for any claim arising out of or related to a confirmed trip is subject to the terms of your trip confirmation and any applicable supplier terms, to the extent permitted by law.

12. Third-party links and services

The Site may contain links to third-party websites or services. We do not control those sites and are not responsible for their content, privacy practices, or availability.

13. Updates to these terms

We may update these Terms from time to time. We will notify you of significant changes by posting the updated Terms on this page and updating the "last updated" date.
